Description

The Nigeria INGO Forum (NIF), established in 2014, facilitates collaboration among INGOs in Nigeria for humanitarian, development, and peacebuilding efforts. The Administration Technical Officer plays a key role in supporting the Deputy Director by ensuring smooth administrative and logistical operations, maintaining compliance with internal and external regulations, and fostering positive relationships with government authorities and other stakeholders.

The role involves overseeing office and guesthouse operations, supervising the Maiduguri office driver, managing procurement and financial documentation, coordinating travel and accommodation logistics, and supporting government liaison activities. The officer also contributes to strategic engagement, policy analysis, and advocacy efforts, ensuring NIF’s operational space is safeguarded and service delivery is enhanced.



Responsibilities

Generic Responsibilities

  • Ensure compliance with NRC/NIF policies and legal frameworks.
  • Provide administrative, logistical, and liaison support.
  • Maintain effective filing and documentation systems.
  • Support process improvement initiatives.
  • Oversee daily office and guesthouse operations.
  • Monitor admin and logistics-related procurements and budgets.
  • Coordinate travel, accommodation, and transport logistics.
  • Uphold ethical standards and confidentiality.
  • Represent NIF positively in external engagements.
  • Support coordination efforts and reporting.

Specific Responsibilities

Administrative Support

  • Manage procurement processes and ensure compliance.
  • Assist in budget preparation and expense monitoring.
  • Supervise administrative staff (driver).
  • Organize logistics for events (meetings, trainings, workshops).
  • Process and monitor payments and invoices.
  • Maintain inventory and restocking of office supplies.
  • Ensure accurate documentation and filing systems.
  • Draft and submit letters to government agencies.

Logistics Support

  • Ensure logistics activities comply with policies and security protocols.
  • Coordinate logistics needs with program and NRC teams.
  • Oversee vehicle maintenance and fuel usage.
  • Arrange travel and hotel bookings for staff and guests.
  • Manage car hire and staff movement logistics.
  • Act as focal point for UNHAS travel bookings.

Liaison & Government Relations

  • Support engagement with government authorities.
  • Track and report regulatory developments.
  • Ensure timely submission of government reports.
  • Maintain records of correspondences and approvals.
  • Attend meetings with government agencies.
  • Build relationships with key government entities.
  • Contribute to strategic engagement and advocacy.

Technical Support

  • Provide feedback and input to improve systems.

 



Qualifications

Generic Professional Competencies Education: Degree or Diploma in Administration, Management, or a related field. Experience: Minimum of 3 years working as a Logistics, Admin, or Liaison Officer in a humanitarian or recovery context. Prior experience working in complex and volatile environments. Proven track record of delivering results related to the role’s responsibilities. Language: Fluency in English. Context/Specific Skills, Knowledge, and Experience Proficiency in Microsoft Windows and Office applications. Experience engaging with senior government stakeholders and regulatory bodies is an added advantage. Ability to work under pressure and meet deadlines. Knowledge of Hausa language is an advantage. Additional Information:

  • Duty Station: Maiduguri, Nigeria
  • Duration of Contract: 6 months (until 30th June 2026), with possibility of extension
  • Grade Level: Grade 6 in NRC’s grading structure
  • Reporting Line: Deputy Director
  • Travel: Up to 10%
